Managing a database of thousands of contacts manually is impossible. Bulk Actions allow you to perform repetitive tasks on large groups of records simultaneously, saving hours of manual data entry and ensuring your CRM stays up to date.

Where Can You Perform Bulk Actions?

Bulk actions are available in three primary areas of the platform:

1. The Contact List

This is the most common place for bulk operations.

  • Selection: Use the checkboxes to select specific contacts, or click the "Select All" checkbox at the top to select every contact in your current view (or even your entire database).
  • Filtering: Always filter your list first (e.g., "Leads from London") before applying a bulk action to ensure accuracy.

2. The Sales Pipeline

Manage your sales flow in aggregate.

  • Selection: Click the "Select" icon in the pipeline header.
  • Actions: You can move multiple leads to a new stage, reassign them to a different sales rep, or mark them all as "Lost" if a campaign has ended.

3. The Unified Inbox

Clean up your conversations.

  • Actions: Multi-select threads to "Mark as Read," "Close," or "Snooze." This is essential for managing high-volume SMS or Web Chat accounts.

Available Bulk Actions

Once you've selected your records, the "Bulk Actions" menu provides the following options:

  • Send SMS/Email: Send a broadcast message to the entire group. (Note: The system will automatically skip contacts who have opted out of marketing).
  • Add/Remove Tags: Quickly categorize a segment of your list.
  • Change Stage: Move a group of leads to a specific point in your pipeline.
  • Assign User: Rebalance workloads by moving a group of leads from one team member to another.
  • Delete: Permanently remove records. This action requires a secondary confirmation.
  • Add to Workflow: Manually push a group of contacts into an automation (e.g., "Add 500 leads to the Re-engagement Workflow").
  • Export: Download the selected records as a CSV file for external analysis or reporting.

Myra includes built-in safeguards to prevent accidental data loss or "spammy" behavior.

The "Undo" Window

After performing a bulk update (like changing a stage or adding a tag), you will see a temporary "Undo" toast notification at the bottom of the screen. This allows you to revert the change if you realize you made a mistake in your selection.

Messaging Throttling

To protect your sender reputation and comply with carrier regulations (like A2P 10DLC for SMS), bulk messages are not sent all at once.

  • Drip Mode: You can choose to send messages in batches (e.g., "Send 50 messages every 15 minutes") to ensure high deliverability and prevent your phone number from being flagged as spam.
  • Quiet Hours: The system will automatically pause bulk messaging during night-time hours based on the contact's timezone.

Audit Trail

Every bulk action is recorded in the workspace's audit log. It tracks who performed the action, which contacts were affected, and the exact time it occurred.

Best Practices

  • Filter Twice, Action Once: Always double-check your filters before hitting "Apply." A small mistake in a filter can lead to thousands of records being updated incorrectly.
  • Use Tags for Testing: If you're unsure about a bulk action, apply a unique tag (e.g., test-bulk-01) to your selection first. Verify the group of contacts with that tag is correct, then proceed with the main action.
  • Export Before Deleting: Even if you're sure you want to delete contacts, it's good practice to run an "Export" first. This gives you a backup in case you need to restore that data later.

Frequently Asked Questions

Can I stop a bulk action once it has started? Yes. For large operations (like sending 5,000 emails), a progress bar will appear. You can click "Cancel" to stop the operation for the remaining records.

Does bulk messaging cost extra? Bulk actions themselves are free, but you will still pay the standard per-message rate for any SMS or Email sent as part of the action.

Is there a limit to how many I can select? There is no hard limit, but operations involving more than 10,000 records may take several minutes to complete.
