Myra is a collaborative platform designed for teams ranging from two people to hundreds. Our granular permission system ensures that every person has exactly the access they need-no more, no less.
Inviting New Members
Adding a colleague to your workspace is a simple process:
- Navigate to Settings → Team.
- Click Invite member.
- Enter their email address and full name.
- Select a Role (see below) or create a custom permission set.
- Team Assignment: Optionally assign them to a specific team (e.g., "Sales UK" or "Customer Success"). This affects which inboxes and contacts they see by default.
- The invitee will receive an email with a secure link to set their password and join the workspace.
Understanding User Roles
We provide several built-in roles to get you started quickly:
- Owner: This is the primary account holder. They have total control over the workspace, including billing, agency settings, and the ability to delete the entire account. There can only be one Owner, though ownership can be transferred.
- Admin: Admins have full access to all features, settings, and team management. The only thing they cannot access is the credit card details and billing history (unless specifically granted).
- Manager: Designed for department heads. Managers can see all contacts and deals, manage pipelines, and view reports, but they cannot change workspace-level settings or invite new admins.
- Agent / Rep: The standard user role for most staff. They can see and edit contacts assigned to them, manage their own calendar, and reply to messages. They cannot see other reps' deals unless "Team Visibility" is enabled.
- View-only: Ideal for external auditors, stakeholders, or silent partners who need to see data but shouldn't be able to change anything.
Custom Permissions Deep-Dive
If the built-in roles don't fit your needs, you can build a custom preset in Settings → Team → Permission Presets. Each feature has a top-level None / View / Edit toggle, and each feature can be expanded to reveal sub-actions you can control individually. For example:
- Pipeline (Sales Board): View board, Create leads, Edit lead details, Move leads between stages, Delete leads, Manage stages & pipelines.
- Contacts: View, Create, Edit, Delete, Import, Export.
- Inbox: View threads, Send messages, Assign threads, Delete messages.
- Calendar: View, Create events, Edit events, Delete events, Manage calendars & availability.
- Automations: View, Create, Edit, Enable/disable, Delete, View run logs.
- Forms: View, Create, Edit, Delete, View submissions.
- Templates / Dialler / Signature: Per-action control over creating, editing, deleting, dialling out, and viewing recordings.
- Proposals: View, Create, Edit, Send to clients, Delete.
- Call Analysis: View analyses, Edit notes, Delete.
- AI Workforce / AI Assist: View, Configure, Run/trigger, Delete.
- Tasks: View, Create, Edit, Mark complete, Assign, Delete.
- Team Members: View, Invite, Edit roles, Remove, Manage permissions & presets.
- Settings: View, Edit branding, Manage integrations, Manage billing.
Changing a feature's top-level toggle cascades to all of its sub-actions. You can then expand the feature and fine-tune any individual sub-action - for example, give a Sales Rep full Edit on Pipeline but View only on Delete leads.
Team Visibility & Data Privacy
You can control data "leakage" between team members:
- Strict Privacy: Reps can only see contacts they are the "Lead Owner" of.
- Team-wide: Reps can see any contact assigned to anyone within their specific team.
- Global: All users can see all contacts (standard for small, open teams).
Auditing and Security
Transparency is key to a secure workspace.
- Audit Log: Admins can view a chronological log of every action taken in the system. This includes who viewed a contact, who changed a deal stage, and who exported data.
- Session Management: See which devices and locations are currently logged into a user's account and force a logout if necessary.
- 2FA (Two-Factor Authentication): Owners can require that all team members enable 2FA (via SMS or Authenticator App) to access the workspace.
Offboarding a Team Member
When a staff member leaves, Myra makes the transition smooth:
- Deactivate: Instantly revoke their access to the app.
- Reassignment Wizard: A popup will ask you who should inherit their open deals, assigned contacts, and pending tasks. This ensures no client is left in limbo.
- Data Preservation: Their historical messages, call recordings, and notes remain in the system, but their name is shown as "Deactivated User" or "Former Employee."
Best Practices
- Least Privilege: Always start a new user with the minimum permissions they need. You can always grant more later.
- Use Presets: If you are an agency adding many "Social Media Managers," save that permission set as a preset to avoid manual toggling every time.
- Team Leads: Assign a "Manager" role to your team leads so they can support their staff without needing full Admin access.
FAQs
Does adding a team member cost more? This depends on your plan. Some plans offer unlimited seats, while others are priced per-user. Check Settings → Billing for your current limits.
Can a user belong to multiple teams? Yes. A user can be part of "Sales" and "Spanish Speakers," allowing them to see data relevant to both groups.
Can I hide specific custom fields from certain users? Yes, custom field visibility can be restricted to specific roles in Settings → Lead Fields.
