A CRM is more than just a list of names; it’s a repository for the documentation that powers your business. From signed contracts and identity documents to project mockups and call recordings, Myra provides a secure, organized environment for all your digital assets.

Where Files Live

Files are context-aware, meaning they appear wherever they are most relevant.

1. The Contact "Files" Tab

The central hub for everything related to a specific person. Here you can find:

  • Files they uploaded via a form.
  • Documents you sent them as attachments.
  • Internal-only notes or screenshots.
  • Call recordings (automatically saved here).

2. The Global File Manager

For administrators, the File Manager (located in the Sidebar) provides a bird's-eye view of all assets across the entire workspace. You can filter by file type (PDF, Image, Video) or search by filename across your entire database.


Uploading & Managing Assets

Flexible Uploading

  • Drag-and-Drop: Drag a file from your desktop directly onto a contact's profile to upload it instantly.
  • Lead-Facing Uploads: Add a "File Upload" field to your web forms. When a lead submits their ID or a brief, the file is automatically named and attached to their new contact record.
  • Email/SMS Attachments: Any file you receive in the Unified Inbox is automatically extracted and saved to the contact's file library.

Organization: Folders & Tags

Don't let your storage become a digital "junk drawer."

  • System Folders: Automatically created for "Call Recordings," "Proposal PDFs," and "Form Submissions."
  • Custom Folders: Create your own structure (e.g., "Project Photos," "Legal Docs").
  • Tags: Apply tags to files (e.g., Approved, Draft, Confidential) to make filtering faster.

Secure Sharing & Previews

In-App Previews

You don't need to download a file to see what's in it. Our high-speed previewer supports:

  • Images: JPG, PNG, WEBP, SVG.
  • Documents: PDF, DOCX, XLSX, PPTX.
  • Media: MP3, MP4, WAV.
  • Code: JSON, CSV, HTML.

Need to send a large file to a client?

  1. Select the file and click Get Share Link.
  2. Security Options: Set an expiry date (e.g., "Link expires in 48 hours") or add a password.
  3. Branding: The download page is fully white-labeled with your agency logo and colors.

Storage Limits & Costs

Every Myra plan comes with a generous base storage allowance:

  • Starter: 10GB
  • Growth: 50GB
  • Scale: 500GB

If you exceed your limit, you can purchase "Storage Blocks" (100GB for $10/month) in your Billing settings. We will notify you via email when you reach 80% and 90% of your limit.

Best Practices

  • Naming Conventions: Encourage your team to use clear filenames (e.g., 2023-10-12_Contract_SarahSmith.pdf) rather than Scan_001.pdf.
  • PDF Search: Use the global search bar to find text inside PDF documents. This is incredibly powerful for finding specific clauses in long contracts.
  • Regular Audits: Use the "Storage Usage" report to identify large, unnecessary files (like old video recordings) that can be deleted to free up space.

Frequently Asked Questions

Is my data encrypted? Yes. All files are encrypted "at rest" using AES-256 and "in transit" using TLS 1.3. Your data is stored on highly secure, redundant servers.

Can I recover a deleted file? Yes. Files are moved to a "Trash" folder for 30 days. After 30 days, they are permanently purged from our servers to ensure privacy compliance.

Can I sync with Google Drive or Dropbox? We offer a 1-way sync where files uploaded to Myra can be automatically backed up to your Google Drive or Dropbox via our native integrations.
