While every user has their own personal booking link, modern businesses often require more complex scheduling logic. Myra’s Multi-Calendar system allows you to create specialized booking pages for different departments, services, and team structures.
Creating a Specialized Calendar
To build a new calendar, go to Settings → Booking → Additional calendars and click New calendar.
Step 1: Basic Information
Give your calendar a public name (e.g., "30-Minute Discovery Call") and a unique URL slug (e.g., yourbusiness.com/book/discovery). Add a brief description that tells the client what to expect during the meeting.
Step 2: Choose the Logic (Calendar Types)
- Individual: Links directly to one person. If they are busy, the slot is hidden.
- Round-robin: Distributes meetings across a group. You can use "Weighted Distribution" to give more leads to senior reps (e.g., Senior Rep gets 60%, Junior Rep gets 40%).
- Collective: Perfect for demos where both a Sales Rep and a Technical Engineer must be present. A slot is only offered if both people are free.
- Pooled: The system assigns the meeting to any available team member at random. This is great for generic support or "first available" triage.
- Class / Group: Allows multiple people to book the same time slot (e.g., a "Yoga Class" or "Product Webinar" with a capacity of 20).
Advanced Configuration
Every calendar can be fine-tuned to fit your workflow:
Availability & Buffers
- Minimum Notice: Prevent "surprise" meetings by requiring at least 2 or 4 hours' notice.
- Maximum Look-ahead: Only allow clients to book up to 14 or 30 days in advance to keep your schedule fresh.
- Buffer Time: Automatically add 15 minutes before and after every meeting to allow for notes and travel.
Custom Intake Forms
Don't just ask for a name and email. Add custom questions to your booking form:
- "What is your estimated monthly budget?" (Dropdown)
- "Please describe your main challenge." (Text Area)
- "Upload your current contract." (File Upload) The answers are automatically saved to the contact's record before you even meet them.
Payments & Deposits
For high-value consultations, you can require payment at the time of booking. Connect Stripe or PayPal and set a price (e.g., $75.00). The booking is only confirmed once the payment is successful.
Embedding the Calendar
You don't have to send people away from your website to book. Use our embedding options:
- Iframe: Embed the full calendar directly into a page on your WordPress or Squarespace site.
- Popup Widget: A small button in the corner of your site that opens the calendar in a clean overlay.
- Custom Button: Link any button on your site to the unique calendar URL.
Automations & Reminders
A booking is just the beginning. Use the "Calendar Trigger" in the Automation builder to:
- Send a WhatsApp confirmation instantly.
- Send an SMS reminder 1 hour before the call.
- Create a Task for the host to "Research the client" 24 hours before.
- Add a Tag to the contact like "Booked Demo."
Reporting & Performance
In the Reports → Appointments section, you can compare how different calendars are performing:
- Which calendar has the lowest "No-Show" rate?
- Which team member is converting the most bookings into deals?
- What is the most popular day of the week for client meetings?
Best Practices
- Clear Slugs: Use descriptive slugs like
/book/onboardinginstead of/book/cal-123. - Sync External: Ensure every team member assigned to a calendar has their Google or Outlook calendar synced to avoid double-bookings.
- Confirmation Page: Use the "Custom Thank You Page" feature to send clients to a video or a case study after they book.
FAQs
Can I change the host after a booking is made? Yes. You can manually reassign a meeting to a different team member from the Calendar view, and the client will receive an updated invitation.
How do I handle public holidays? You can set "Workspace Holidays" in Settings, or individual team members can simply add "All Day" busy blocks to their personal calendars.
Is there a limit to how many calendars I can create? Most professional plans allow for unlimited additional calendars.
