Myra's Task Management system is designed to ensure that every follow-up, document request, and meeting preparation is accounted for. By linking tasks directly to contacts and deals, you create a "paper trail" of accountability for your entire team.

Creating and Managing Tasks

Tasks can be created in seconds from anywhere in the platform.

Quick-Create Tools

  • The Header Icon: Click the checkmark icon in the top header or press the T key on your keyboard to open the task overlay.
  • Contact Record: Add tasks directly within a lead's profile under the "Tasks" tab. This automatically links the task to that specific person.
  • The Mobile App: Tap the "+" button on your mobile dashboard to jot down a reminder while on the move.

Task Properties

Every task includes the following fields:

  • Title: The core action (e.g., "Call Sarah back about the proposal").
  • Description: Detailed notes or context for the task.
  • Priority: Choose from Low, Normal, High, or Urgent. Urgent tasks appear at the top of your list with a red indicator.
  • Due Date & Time: Set specific deadlines. You can also set a "Reminder" for 15, 30, or 60 minutes before the task is due.
  • Assignee: Assign the task to yourself, a teammate, or an entire user group.

Productivity Features

Recurring Tasks

For routine work that needs to happen regularly (e.g., "Monthly billing review" or "Weekly client check-in"), you can set tasks to repeat.

  • Options: Daily, Weekly, Bi-Weekly, Monthly, or Yearly.
  • Logic: When you mark a recurring task as complete, the system automatically generates the next instance of that task based on your chosen frequency.

Automated Task Creation

The most efficient teams use Workflows to manage their to-dos.

  • Example: Set an automation to "Create Task" whenever a lead moves to the "Contract Sent" stage. The task can be: "Check for signature in 48 hours."
  • Outcome: This removes the mental load of remembering to follow up, as the system reminds you only when it's necessary.

Team Visibility & Reporting

The Team Task View

For managers, the "All Tasks" view provides a high-level look at the department's workload.

  • Filters: Filter by user to see who is overloaded and who has capacity.
  • Overdue Tracking: Quickly identify tasks that have missed their deadlines to prevent lead leakage.

Task Completion Reports

In the Analytics section, you can track "Task Completion Rates" per user. This is a great KPI for measuring team productivity and ensuring consistent client service.

Best Practices

  • The "Daily Zero" Habit: Aim to clear your "Today" and "Overdue" lists every morning. If a task isn't going to happen today, reschedule it for a realistic future date.
  • Be Descriptive: Instead of "Call Lead," use "Call {{contact.first_name}} to discuss pricing concerns from yesterday's email." This saves you from having to re-read old notes.
  • Use Priorities Sparingly: If everything is "Urgent," then nothing is. Reserve the Urgent priority for tasks that directly impact revenue or client retention.

Frequently Asked Questions

Can I sync my tasks with Google Tasks or Microsoft To-Do? Yes, via our Zapier integration. We also offer a 2-way sync for calendar-based tasks.

Can I assign one task to multiple people? A task can only have one primary assignee. However, you can @mention other team members in the task description to notify them.

What happens to tasks when a lead is deleted? All associated tasks are moved to the "Trash" and will be permanently deleted after 30 days unless restored.
